Terms and conditions

Based on the current legislation on organized travel and holiday packages, before registering for one of our organized trips, please carefully read these General Terms of Participation, which form an integral part of the organized travel contract.

Participation in any organized trip of DARIA HELLENIC TOURS I.K.E. requires careful study of the specific trip program and implies the unconditional acceptance of these terms by the customer/traveler.

"Package trip" means the predetermined combination of at least two individual tourist services (indicatively: transportation, accommodation or other essential tourist services), provided that these are offered at a total price and meet the requirements of the applicable legislation. These terms include general information, as well as the rights and obligations of the contracting parties. The more specific information of each trip (destination, duration, dates, departure/return times, means of transport, accommodation, included services, prices, etc.) is referred to in the corresponding program, in the relevant price list and/or in the special offer.

1. Organizer (Tourist Office)

The travel organizer is the company with the distinctive title DARIA HELLENICTOURS, based at the travel agency on the street M. Alexandrou 7, Larissa, contact phone number 2410-538725, email info@dariahellenictours.gr and Registration No. GNTO 0725Ε60000029500.

The company organizes and sells organized trips either directly or through collaborating travel agencies/sellers.

2. General

The programs, price lists, offers and any related information material are valid for the period indicated therein and in combination with each other. Any changes, corrections or additions announced before the conclusion of the contract are binding on both parties.

The final configuration of the trip, the services provided and the final price is reflected in the organized travel contract concluded between the company and the traveler.

The company makes every effort to ensure that the program information is accurate. However, changes may occur due to extraordinary or unforeseen circumstances, especially in transportation, third-party provider charges or conditions prevailing in destinations.

3. Travel Contract

Participation in an organized trip requires the conclusion of a contract between the DARIA HELLENIC TOURS I.K.E. and the traveler. These General Terms and Conditions of Participation form an integral part of this contract.

The party signing the contract on behalf of a family, group or third parties declares that he/she has been legally authorized to do so and undertakes to inform all fellow travelers he/she represents of the content of the contract, the program and these terms and conditions.
A copy of the contract is mandatory delivered to the customer.

4. Registrations – Reservations – Contract

Any person over the age of 18 can register for a trip. Minors may only participate when accompanied by an adult and, where required, with the necessary legal documents and authorizations.

Reservations can be made at the office, through partners, by phone, electronically or via the website. For a reservation to be considered valid, the following cumulative requirements are required:

  • the payment of the required advance payment or, where required, the full value,
  • acceptance of these terms,
  • providing the correct traveler details.

The usual deposit to secure a place is 35% of the total value of the trip, unless otherwise specified in a special program or offer.

The repayment of the total amount must be completed no later than 30 days before departure, unless a different deadline is provided. In case of non-payment on time, the company reserves the right to cancel the reservation and impose cancellation fees, in accordance with these terms.

The customer is obliged to check with particular care the personal information he/she declares (name exactly as it appears on the ID/passport, date of birth, contact details, etc.). The company is not responsible for any consequences arising from incorrect or incomplete information provided by the customer or a third party acting on his/her behalf.

For trips that require a visa or specific documents, the customer must send clear, correct and complete supporting documents in a timely manner. Otherwise, the company may not proceed with the reservation or support the issuance process.

The contract comes into force from the moment of payment of the advance payment (or the total amount, where required), the issuance of the relevant receipt/document and the acceptance of the terms by the customer.

5. Travel Prices – Charges

The prices of the trips are listed in the current price list, in the program or in the respective offer and are, as a rule, per person, unless otherwise stated.

The price includes only the services that are explicitly mentioned in the "included" section of each program. Expenses that are not explicitly mentioned are not included, such as, but not limited to:

  • airport or port taxes,
  • fuel surcharges,
  • city/residence fees,
  • visas,
  • tips,
  • optional excursions,
  • festive dinners where not explicitly mentioned,
  • personal expenses.

Prices have been calculated based on the data valid at the time of preparation of the program or offer. The company reserves the right to adjust the price in case of changes in key cost factors, such as:

  • increase in fares or charges,
  • increase in fees, taxes or other third-party charges,
  • change in exchange rates,
  • changing hotel or local provider charges.

In the event of a significant increase in the price before departure, the customer is informed in a timely manner and may, in accordance with applicable legislation and the terms of the specific trip, accept the change, choose another available trip or request cancellation with the consequences provided for by the contract and these terms.

In special offers, trips with a limited number of seats, chartered flights/ships, exhibition or festive periods, stricter payment, change and cancellation terms may apply, up to and including full non-refundable rates.

Local taxes or mandatory charges payable at the destination are not included in the price, unless expressly stated otherwise.

6. Contractual Obligations of DARIA HELLENIC TOURS IKE

OR DARIA HELLENIC TOURS I.K.E acts as an organizer and/or intermediary between travelers and independent service providers (indicatively: airlines and ferry companies, transport companies, hotels, local agencies, tour guides and other partners).

The company takes every possible care to ensure the proper execution of the trip, but is not responsible for acts, omissions, errors, delays, cancellations or changes due to third-party providers or extraordinary circumstances outside its sphere of control.
Such circumstances may include, but are not limited to:

  • extreme weather events,
  • natural disasters,
  • epidemics or public health measures,
  • strikes,
  • political unrest,
  • war or threat of war,
  • terrorist acts,
  • technical problems of means of transport,
  • restrictions or decisions of authorities.

In such cases, the company will make every reasonable effort to assist and serve travelers, but will not be liable for covering extraordinary expenses caused by force majeure events or acts of third parties.

The company is not responsible for loss, theft or damage to luggage, personal belongings, money or travel documents, unless this is due to proven fault on its part.

Any complaints during the trip must be reported immediately and on the spot to the escort/leader or, in his/her absence, directly to the office and to the service provider, as the case may be, so that an attempt can be made to deal with the situation immediately.

If the issue is not resolved on the spot, the customer must submit a written report to the company within 5 working days upon his return, accompanied by the relevant evidence.

Some trips require a minimum number of participants. If this number is not reached, the company reserves the right to cancel the trip, informing customers in a timely manner and refunding the amounts paid, in accordance with the contract and applicable policy.

7. Excursion Program

The company makes every effort to faithfully execute the programs. However, changes may occur from the publication of a program to the departure date due to unforeseen circumstances.

For example, there may be changes to:

  • departure/return hours or days,
  • air or sea routes,
  • series of visits or tours,
  • local transport,
  • hotels of the same or, if this is not possible, of a different category with corresponding accommodation,
  • access to museums, monuments or attractions.

Before departure, the customer is informed of any significant changes, so he can, depending on the case:

  1. to accept the change,
  2. to choose another available trip of equal or different value with corresponding arrangements,
  3. to request cancellation in accordance with the provisions of the contract, the law and these terms.

During the trip, the leader, escort or local representative may make reasonable modifications when required by extraordinary events or for reasons of safety and smooth running of the program.

Extraordinary expenses arising from force majeure circumstances or decisions of third-party providers/authorities are borne by the traveler, unless otherwise provided by specific insurance coverage or by mandatory legal rule.

8. Trip Cancellation – Cancellation Fees

The company reserves the right to cancel a trip in cases of force majeure, minimum non-fulfilled participation or other serious reasons that make it impossible to carry it out. In such a case, it will promptly inform the customer and take legal action to refund money or provide an alternative proposal, as appropriate.

In the event of cancellation by the customer, the following apply, unless the program or offer states different, more specific terms:

  • Up to 45 days before departure: refund of the amount, with deduction 100 € per person for administrative expenses.
  • 44 to 30 days before departure: cancellations 35% the total value of the trip.
  • 29 to 14 days before departure: cancellations 75% the total value of the trip.
  • 13 days before departure until no show: cancellations 100% the total value of the trip.

Special conditions may apply to:

  • offers,
  • peak periods and holidays,
  • exhibitions, sporting or artistic events,
  • themed or special trips,
  • cruises,
  • chartered flights or ships,
  • individual/solo trips,
  • non-refundable fares.

In these cases, stricter cancellation fees may apply, up to 100% of the value, according to the specific terms of each offer, airline/seafarer company, hotel or other provider.

Cancellations are made only in writing by the person who made the reservation.

In the event that one of two travelers who have booked a double room cancels, the traveler who remains may be charged the difference for a single room, if they end up staying alone.

The customer may, in certain cases and if possible, assign his participation to a third party who meets the conditions of the trip, subject to acceptance by the providers involved and coverage of the relevant change costs.

9. Customer Contractual Obligations

Travelers must adhere to the schedule, comply with the instructions of escorts, tour guides and local representatives, and arrive on time at meeting points for flights, transfers, tours, meals or other amenities.

Any delay or inconsistency on the part of the customer may lead to the loss of part or all of the benefits, without the right to a refund for services lost due to his own fault.

Travelers are solely responsible for:

  • the timely provision,
  • the power,
  • legality,
  • and the custody

their necessary travel documents (identity card, passport, visa, residence permits, certificates, etc.).

For trips abroad, the customer must check in a timely manner the requirements of the destination and intermediate countries, including entry requirements, visas, validity of travel documents and other formalities.

Minors traveling without both parents must carry the required documents and authorizations. Travelers with foreign citizenship or residence permits must be informed by the competent authorities of the countries they will visit.

Failure to obtain the required travel documents or failure to comply with the entry conditions does not constitute a reason for interest-free or fee-free cancellation, as long as it is not due to the company's fault.

At airports, customers must be present at least two (2) hours prior to departure, unless they have received different written instructions.

Customers must inform us at the time of booking about any special needs or special requests (e.g. mobility issues, pregnancy, health problems, food allergies, special meals, bed/room type). The company will try to assist, but cannot guarantee that every request will be met.

In case of health problems, the client must have previously consulted his doctor and received his approval to participate in the trip. The company is not responsible for complications related to a pre-existing health condition that was not disclosed in a timely manner.

If a traveler voluntarily leaves the group or interrupts their trip, they are not entitled to a refund for unused services, while the related costs are borne by them.

10. Included Services

A. Hotels
The classification of hotels and accommodations is based on the rules and official categorization of the country they are located in. There may be differences from country to country and there is no single international classification system.

Unless otherwise stated, accommodation is in standard rooms. The allocation of a specific floor, view, room type or location within the hotel is entirely dependent on availability and the accommodation's policy.

Rooms are usually delivered between 13:00 and 15:00 and are vacated by guests by approximately 10:00 on the day of departure, unless otherwise specified by the accommodation.

In case of overbooking or other serious reason on the part of the hotel, the company may transfer the customer to another accommodation of a corresponding category or, if this is not possible, to a different category, with the corresponding financial arrangement, without any further liability.

B. Airline Tickets – Airlines
Air travel is carried out in accordance with the terms, restrictions and rules of each airline and the fare that has been issued.

Airlines may modify without prior notice:

  • flight hours,
  • itineraries,
  • intermediate stops,
  • aircraft type,
  • departure/arrival airports (where permitted),
  • cooperating air carriers.

The company cannot control or prevent such changes and is not responsible for airline decisions, including cases of denied boarding, overbooking, cancellations, delays or changes.

After an airline ticket has been issued, any change or cancellation is subject to the terms of the issued fare and may result in charges or complete loss of value.
In case of no-show on the outbound flight, the return ticket may also be automatically canceled, according to the airline's policy.

C. Coach – Duration of Tours
On coach trips, domestic excursions and many foreign tours, seats may be rotated to better serve the group. Smoking is prohibited on coaches.

The company seeks to use comfortable and suitable vehicles, depending on the conditions and infrastructure of each destination.
The duration of full-day or half-day excursions and tours depends on the program, local conditions, driving/movement laws and the consistency of travelers. Any delays on the part of travelers may affect the flow of the program, without the company's responsibility.

11. Luggage

Luggage is delivered and collected at the traveler's responsibility, regardless of whether there is an escort or a representative of the office.
The permitted weight and dimensions of luggage/hand luggage are determined exclusively by the respective carrier (airline, ferry, road company, etc.) and may vary depending on:

  • the company,
  • the destination,
  • the fare,
  • the itinerary,
  • domestic flights.

In case of overweight, oversized or additional baggage, the traveler is liable for the corresponding carrier charges.

The company is not responsible for the contents of the luggage nor for any loss, delay or damage caused by carriers or third parties. In such a case, the traveler must immediately contact the relevant carrier or the relevant office at the airport/station and submit an official declaration.

12. Optional Excursions

During the trip, optional excursions or activities may be suggested by local partners. The relevant suggestions are provided primarily for informational purposes.

Optional excursions are not, unless expressly stated, part of the original organized travel contract with the company. Their selection, organization, execution, pricing and responsibility lie with the local provider with whom the traveler contracts directly.

Prices and terms of participation in optional excursions may vary depending on:

  • the number of participants,
  • seasonality,
  • local charges,
  • special operating conditions.

OR DARIA HELLENIC TOURS I.K.E and the escorts/leaders are not responsible for these benefits, unless they have been explicitly incorporated into the program contents.

13. Insurance

The company maintains, where required by law, the necessary insurance coverage related to the exercise of its activity as a tourist agency and organizer of organized trips.

Additional travel insurance, liability insurance, accident, illness, repatriation, trip cancellation or other additional risks may be provided or offered, depending on the trip, the program or the collaboration with an insurance company.

The exact coverages, exclusions, liability limits, activation conditions of each insurance policy and the relevant information of the insurance company are disclosed to the customer before or upon conclusion of the contract, where provided for.

The customer must carefully study the terms of the insurance policy that may accompany his trip, especially regarding:

  • exceptions,
  • pre-existing conditions,
  • pandemics or public health measures,
  • maximum coverage limits,
  • damage reporting procedure.

In any case, insurance coverage is governed by the specific terms of the respective insurance policy and not by a general description on this page.

14. COVID-19 / Other Public Health Issues

In the event that the agreed trip is affected, postponed, modified or interrupted due to public health measures, mandatory quarantine, hospitalization, travel restrictions or decisions of competent authorities of the destination country, intermediate country or the country of departure, the company is not liable for services that could not be provided due to the above circumstances, as long as these are not due to its own fault.

The company, to the extent possible, will make every reasonable effort to assist and guide the traveler, especially in relation to his safe return or the search for alternative solutions.

Any coverage of expenses related to illness, quarantine, travel change or hospitalization depends solely on the terms of the individual insurance coverage the customer has.

The customer is obliged to comply with all health protocols, instructions from authorities, carriers, hotels and other providers.

15. Dispute Resolution

OR DARIA HELLENIC TOURS I.K.E and the client undertake to seek the resolution of any dispute that may arise from the contract or from the execution of the trip in good faith, through consultation and amicable settlement.

If an amicable resolution is not possible, Greek law shall apply and the courts provided for in accordance with the provisions in force at that time shall be designated as competent.
These terms and conditions constitute the basic framework for participation and prevail over any general or summary statement that may appear on receipts, summary forms or other informational material, unless otherwise specified.
